RED RIVER GORGE EXPERIENCES, LLC (RRGE) TERMS & CONDITIONS

The terms and conditions contain legal obligations, waivers of liability, cancellation and refund policies, and express assumptions of risk. You should read this entire document carefully.

Availability
Our guiding services are available year-round. If we do not have something scheduled when you plan to visit, give us a call or send us a message and we’ll do our best to accommodate sharing an adventure with you.

Reservations and Payment
Reservations can be requested by using the Request Booking buttons on the website, or calling us at 859-379-8328.

Payment secures your registration for a hike. An invoice will be sent from Red River Gorge Experiences to the email provided by the individual(s) responsible for payment for themselves and/or others in their party.

Safety
While we take every precaution to minimize risk, it is impossible to eliminate all risks associated with being outdoors. Our goal is to minimize your risk, but ultimately you must assume full responsibility for your participation in any events or services provided by Red River Gorge Experiences, LLC. (RRGE) by signing our liability waiver.

Emergency Information
Please note that due to the remote nature of the Red River Gorge region, advanced medical care is not immediately available. While we have radio communication devices, mobile phone service is unreliable when we are on the trails. It is imperative that all medications, medical concerns, allergies and any injuries (recent or old) be documented by each Service participant on their medical and emergency form during the registration process. Your guide will attempt to contact you the day before the hike to discuss any medical/health concerns that you or they have prior to embarking on the hike. If there are any medical conditions, please be sure to bring any necessary medications with you on the hike, this includes inhalers, epinephrine injection devices, etc.

Substances
All RRGE trips are alcohol and substance-free, unless specifically stated in the trip description. Any violation of this policy will result in removal from the trip or event without a refund.

Inclusive Experiences and Zero Tolerance Policy
We believe the outdoors is for everyone, and just like all of the unique things we find in the outdoors, we appreciate the unique things about each person. As such, we ask that all participants make sure that remarks and conversations are welcoming to everyone.

We have a zero tolerance policy for hateful/harmful behavior. Emotional and physical safety of our participants is our top priority. We reserve the right to remove a person at any time from a trip or event without notice if this policy is violated.

Privacy Policy
This Privacy Policy describes the personal information that we collect through registration for services offered by Red River Gorge Experiences, whether via direct communication or through rrgexperiences.com (the “Site”), and how we collect and use that information. The term “the Service” is defined as any images, videos, written work, trip planning, group and customized hike services sold, or free content collected at rrgexperiences.com. The terms “we,” “us,” and “our” refers to Red River Gorge Experiences, LLC. The terms “user,” “you,” and “your” refers to customers and other users of the Site. The term “personal information” is information that you provide to us that personally identifies you and/or your contact information such as your name, phone number, email address, mailing address, and other personal information that may be collected as part of the registration process for one of our events or services. The information you voluntarily provide is used to process transactions, send periodic emails and to improve the Service we provide. We do share your information with trusted third parties who are involved with conducting our business and servicing clients and visitors through Service partnerships and collaborations. These trusted third parties agree to keep your information confidential. We will not provide your personal information to unrelated third parties without your express written consent, with the exception of: circumstances where Red River Gorge Experiences, LLC is required to comply with legal process or conform to legal requirements, protect and defend the rights or property of Red River Gorge Experiences, LLC, or enforce the agreements with you.

Cancellation Policy & Refunds
Please note: The cancellation terms that apply to your guided hike or service may vary from the terms stated here. The best resource for the terms of your specific experience is on the guided hike or service information section of our website.

Red River Gorge Experiences operates year-round in whatever the weather happens to throw our way. In the event of inclement weather, it may be necessary to delay the start of a hike or take shelter and pause a hike for safety. In the very rare circumstance that your registered hike must be canceled due to circumstances beyond our control – including but not limited to public health emergencies, natural disasters, or inclement weather (for example: thunderstorms, high winds, hail or unsafe roads), the owner of RRGE or your guide will contact you as soon as possible.

  • If a hike is canceled by RRGE, the cancellation will be communicated with registered guests as soon as possible and a full refund of fees paid for the hike will be issued in the form of payment that was used to register and pay for services
  • Standard cancellation policy for Public Group Hikes
    • Cancellation by clients 30 days or more in advance receive a full refund, minus any processing/administration fees
    • Cancellation by clients 15-29 days in advance receive a 50% refund, minus any processing/administration fees
    • Cancellation by clients 8-14 days in advance receive a 25% refund, minus any processing/administration fees
    • Cancellation by clients within 7 days of their registered tour will not receive a refund

We always do everything in our power to follow the set itinerary, however it can change occasionally based on temporary access restrictions, weather, guest ability/injury, natural events like fires and flooding, and other potential causes. Refunds are not issued in the event of an itinerary change.

Rebooking/Rescheduling
Please contact us if you need to reschedule your tour, there is no fee to reschedule when requested 8 days or more in advance. However, guests will be responsible for any increase in cost if requesting to change to a different hike experience. If a suitable option is not available and guests must cancel their registration, they will be subject to the cancellation policy established above.

Reschedule requests that are able to be accommodated within 7 days of a scheduled tour will be subject to a $10 rebooking fee per person.

Trip Insurance
Life is unpredictable – things like illness, injuries, family emergencies, travel delays and other occurrences can affect your ability to travel. We recommend that you consider trip insurance to help offset the cost of any cancellations that become necessary due to unforeseen circumstances. Red River Gorge Experiences does not offer trip insurance. If you are booking transportation for your trip, that carrier may have an option for you to review.

Lodging and Transportation
Lodging and transportation accommodations are not provided by Red River Gorge Experiences, unless the event/activity you are registered for explicitly states these services are included (i.e. trip planning services). We will gladly provide you with some resources to help you with your lodging and transportation needs.

Food and Water
Unless specifically stated in the event description, food and water are not provided as part of our hiking trips. Please bring snacks and the recommended amount of water for your guided hike.

Pets
We love pets, as do many of the landowners and property managers where we hike. However, unless it is specifically stated in the event description, out of respect for the nature preserve and property owners, pets are not allowed to be on the premises. Please make arrangements for your pet while you join us for a hike.

Leave No Trace Principles
